Director of Project Management

Reports to:  Vice President, Operations

Status:  Full-time, exempt


Position Overview

The primary responsibility of the director of project management (DPM) is to lead the project management team in ensuring all client programs and initiatives are produced on time and on budget, while meeting company quality standards. The DPM is the senior team member responsible for guiding and directing the project management team in accurate pricing, workflow planning, resource planning and management, use of the project management system.  Ultimately, the DPM is responsible for ensuring the agency meets all of its commitments for deliverables.

The secondary responsibility of the director of project management is to manage the project management team, including establishing onboarding plans, developing growth opportunities, and managing group and individual utilization(s) and realization(s) rates.

Primary Responsibilities

  • Ensures all client architecture structures in the project management system meet financial, account and project management needs
  • Oversees that all programs meet quality standards and are on time and on budget
  • Manages online and offline project/program folder structures
  • Manages individual and department utilization(s) and realization(s)
  • Manages project management team
  • Maintains professional internal and external relationships that meet company core values
  • Other duties, as assigned

Detailed Responsibilities

Client Development/Business Development

  • Reviews and approves proposed scope of work and budget for RFPs
  • Reviews and provides feedback on staffing plans
  • Identifies resource requirements for agency of record (AOR) relationships
  • Reviews and approves new business and critical account contracts
  • Manages pricing templates and reviews estimates
  • Participates in go/no-go decision with CEO and new business team
  • Works with resource manager, new business and executive vice presidents to actively fill gaps in the agency production schedule

Program Intake

  • Reviews and approves priority initiative timelines (with milestones)
  • Reviews and approves client/project/campaign architecture

Program Execution

  • Approves all change orders above specified dollar amount

AOR Completion and Next Year Plan

  • Participates in go/no-go decision for next year

Program Administration

  • Works with resource manager and operations to manage the priority listing of clients
  • Secures approval from strategic service directors and approves all out of scope or over budget POs
  • Resolves vendor addendum form issues
  • Reviews estimating discrepancies and implements estimating improvements
  • Facilitates billing/revenue recognition meetings
  • Approves labor write-offs amounts and reasons
  • Works with operations to approve expense write-off amounts and reasons
  • Participates in program/project post mortems on critical accounts
  • Documents and implements workflow improvements per project post mortem outcomes
  • With resource manager, measures productivity of team for each completed project
  • Reviews all client/program profitability reporting


  • Participates in weekly agency production meetings
  • Approves all project management team time sheets
  • Completes timesheet daily


This is a supervisory-level position on the operations team. The individual should have the following experience and capabilities:

  • Ten years of project management experience in a consulting and/or an agency setting
  • Excellent writing skills; command of language, grammar and spelling; dedication to error-free work and communications
  • Excellent organizational and communication skills
  • Experience working in Workamajig is a plus
  • Bachelor’s degree is required
